Job Title: Development & Engagement Coordinator

Position Summary

The Development & Engagement Coordinator plays a key role at Caring Collective. This professional’s diverse responsibilities include supporting our organization’s fundraising & donor engagement efforts, campus & community programming efforts, and select marketing efforts. This supports initiatives that create and increase awareness of Caring Collective’s programs, services, and impact by key stakeholders throughout the Suncoast and Southwest Florida.

This position combines relationship-centered administrative work with hands-on event coordination, helping ensure a high-quality experience for donors, partners, and program participants. The ideal candidate is detail-oriented, organized, and proactive, someone who enjoys both behind-the-scenes systems work and being part of meaningful, mission-driven events.

Typer: Non-exempt, hourly Reporting: Chief Development & Marketing Officer

Key Responsibilities

Development & Fundraising Support

  • Assist in the planning and execution of fundraising initiatives, including donor, grantor, and prospect meetings, tours, and events
  • Maintain and update donor records in DonorPerfect, including timely gift entry, donor information updates, document uploads, and report generation
  • Prepare and send donor and grant acknowledgement letters in a timely and accurate manner
  • Support donor and grantor stewardship efforts by tracking key milestones (e.g., birthdays, anniversaries, promotions) and coordinating outreach such as cards and communications
  • Assist in the preparation of donor and grantor impact reports and related materials
  • Maintain tracking systems (spreadsheets and/or databases) for grant submissions and reporting deadlines

Event Coordination (Fundraising Events)

  • Provide administrative coordination for our organization’s annual fundraising event o Manage vendor relationships and confirmations
  • Coordinate production and distribution of event materials (save-the-dates, invitations, programs, etc.)
  • Track and report event metrics, including revenue and expenses

Marketing & Communications Support (External Communications)

  • Provide administrative support for marketing and communications initiatives
  • Coordinate with external marketing vendors, including assisting with contract administration, timelines, and deliverables
  • Monitor and follow up on scheduled social media and content posting to ensure alignment with organizational priorities and timelines
  • Assist with updates to our organization’s website and digital platforms as needed
  • Support the development and organization of marketing assets and materials

Connection & Learning Program (Campus/Community Events)

  • Coordinate logistics for a recurring calendar of learning and engagement events
  • Confirm speakers, dates, and event details in collaboration with leadership
  • Reserve meeting space and coordinate AV and IT needs
  • Create and distribute event flyers and promotional materials
  • Manage RSVP process, including creating Google Forms and QR codes, and communicating with registrants
  • Support on-site event execution, including setup, hosting support, and cleanup
  • Distribute and track post-event surveys and assist with summarizing feedback

Qualifications

  • High school diploma
  • 2+ years of experience in administrative support, development, fundraising, events, or a related field, preferably in a non-profit
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects and deadlines
  • Experience with databases or CRM systems (DonorPerfect experience a plus)
  • Strong verbal and written communication skills, particularly for professional correspondence
  • Proficiency in Microsoft Office and Google Workspace; familiarity with tools like Canva or email marketing platforms (Constant Contact, etc.) is a plus
  • Ability to work both independently and collaboratively in a team environment
  • Comfortable interacting with donors, partners, and community members in a professional and welcoming manner

  • Flexibility to support occasional early morning, evening, or event-related responsibilities

Compensation & Benefits

  • $48,000 – $50,000 annually
