
PROGRAM & ADMINISTRATIVE ASSOCIATE
Position Description
SUMMARY
The Program & Administrative Associate is the first point of contact for visitors and callers, delivering excellent customer service and creating a professional, welcoming reception environment. This role plays a key part in supporting the organization’s programs by working together with staff, Campus of Caring partners, and community members to assist in our mission-driven work. The Program & Administrative Associate also is responsible for managing the front desk functions, including greeting guests, answering phones, and providing a range of clerical and administrative support.
This team member must be personable, organized, adaptable, and detail-oriented, with excellent interpersonal, computer, writing, administrative, and communication skills.

RESPONSIBILITIES
Program Support
- Provide language assistance for Spanish speaking clients
- Assist in planning, scheduling, and preparing materials for programs and events
- Help track program attendance, evaluations, and outcomes
- Support communication with program participants, volunteers, and partners
- Caring Collective Navigator
- Prepare the daily beverage station and maintain the kitchen’s appearance to ensure a welcoming space where non-profit staff can pause and recharge
- Reserve audio/visual equipment and make sure the meeting rooms are set up appropriately
- Coordinate and support set-up in Building J-1 conference rooms of audio/visual equipment
- All other duties as assigned
Administrative & Reception Support
- Greet people, be of service to guests and visitors, answer and direct phone calls, and manage general email communications, including campus notifications & maintenance requests
- Shared responsibilities for maintaining office supplies & equipment
- Provide administrative/clerical support such as scheduling, mail processing, filing, copying, scanning, etc.
- Maintain professional appearance of Reception/Lobby area including brochure rack
- Perform and maintain daily opening and closing procedures
- All other duties as assigned
QUALIFICATIONS
- High school diploma or equivalent
- A minimum of two years of administrative and program non-profit experience
KNOWLEDGE, SKILLS, & ABILITIES
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Windows, and Adobe Acrobat required
- Basic knowledge of audio/visual equipment setup and troubleshooting
- Commitment to the organization’s mission and values
- Excellent written and verbal communication skills and diplomacy for interacting with donors, grantors, campus agencies, board members, vendors, and other stakeholders
- Strong organization skills with flexibility, deadline-focus, friendliness, and multi-tasking a must
- Bilingual in English and Spanish preferred
HOURS: Full-time, 40 hours/week, Monday-Friday COMPENSATION: $19.23/hour
